Privacy policy
What Ladgerline collects, why, who it reaches, how long it is kept, and how to have it deleted.
PLACEHOLDER — before launch, replace this note with your registered legal entity name, business address and, if you have EU or UK customers, your data-controller contact. Everything else on this page describes what the software actually does and can stay as written.
This policy covers ladgerline.com and the Ladgerline application. It is written to be read, not to be survived. A companion page describes document handling in more technical detail.
What we collect
- Account data — your email address and a scrypt hash of your password. We never store the password itself.
- Documents you upload — the service contract, repair invoice and optional service report for each audit, plus the report generated from them.
- Audit records — file names, timestamps, the invoice total, the recoverable figure and the finished report.
- Purchase records — the credit pack bought, the amount, and the payment provider's order reference. Card details never reach our servers.
- First-touch attribution — if you arrive from an ad or a search with campaign parameters, we store which campaign brought you, in a cookie and then against your account at signup.
- Ordinary server logs kept by our hosting provider, including IP address and user agent.
What we do not collect
We do not collect card numbers — checkout happens on the payment provider's own pages and we receive only a reference and an amount. We do not run session recording, heatmaps or behavioural profiling. We do not buy or enrich data about you from third parties.
Why we process it, and on what basis
Account data and uploaded documents are processed to perform the service you have asked for: reading your contract and invoice and returning a coverage report. Purchase records are processed to fulfil the contract and to meet accounting obligations. Attribution data is processed on the basis of legitimate interest, to understand which channels bring customers, and it is never used to build a profile of you as an individual.
Who your data reaches
- Cloudflare — hosting, object storage and database. Your documents and account records are stored here.
- OpenAI — the extracted text of your contract and invoice is sent to the OpenAI API for indexing and adjudication. Under OpenAI's API data policy, API content is not used to train their models.
- Lemon Squeezy — our merchant of record. They handle checkout and hold the payment details we never see.
- Meta — only if you reached us from a Meta ad and only as a hashed, one-way record that a purchase occurred. This is inactive unless advertising is running.
Your documents are not shared with anyone else, and they are never sold or rented.
Cookies
Two cookies matter. A session cookie keeps you signed in and is required for the application to work. An attribution cookie records the first campaign that brought you and is written only when you arrive with campaign parameters in the address. There are no advertising cookies on this site unless a Meta pixel has been configured, which is disclosed above.
How long we keep it
Documents, audit reports and account data are kept for as long as your account exists, so that you can reopen a past report without paying to run it again. There is no automatic deletion schedule at present. Purchase records are kept for as long as tax and accounting rules require, which is typically several years and is independent of account deletion.
Your rights
You can ask for a copy of the data we hold about you, ask us to correct it, or ask us to delete it. Email support@ladgerline.com from the address on the account. Deletion removes the stored files, the audit records and the account; purchase records are retained where the law requires it. If you are in the UK or EU you also have the right to complain to your data protection authority.
Changes
If this policy changes in a way that affects how your documents are handled, the updated date below the title will change and material changes will be notified by email to account holders.
